What personal data we collect and why we collect it
We collect very little personal data. When data is collected however, it is entered by visitors voluntarily through our online forms. Those forms collect information for prospective member applicants, fellowship applicants, submitted posts for our News page, our opt-in mailing list, and content uploaded by current Artaxis members for updates to their pages. The information we collect is used to create content for the artist member’s pages (images of artwork, profile photos, resumes, etc). We collect contact information for us to be able to get in touch with the people that contact us. We don’t collect any information we don’t need and we will never share it with any third party we don’t have to.
We monitor our website traffic using various web-based tools, however no personal data is collected or stored and all visitor IP addresses are anonymized.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Comments
We do not allow visitor comments on posts, pages, images, or other media files posted on the Artaxis website. Comments made by an applicant within the application forms are stored with that applicant’s submitted materials and not shared with third parties.
Contact forms
Information uploaded to our contact form is stored so that we can use it when we respond to your inquiry.
Cookies
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. Youtube and Vimeo videos, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with
Some data is shared with third-party providers only when absolutely necessary. Our third-party providers include our website hosting company, Flywheel (find their privacy policy here: https://getflywheel.com/legal/privacy-policy/); our payment processor, Paypal (find their privacy policy here: https://www.paypal.com/us/webapps/mpp/ua/privacy-full); and our donations processor, GiveWP (find their privacy policy here: https://givewp.com/privacy-policy/).
How long we retain your data
For editors and authors that register on our website, we store the personal information they provide in their user profile. All editors and authors can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Information and media submitted via our web forms related to the application process, contact form, fellowship applications, and News page submissions, may also be held indefinitely, however this information would only be for backup and archiving purposes within the Artaxis Organization.
What rights you have over your data
If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. If you would like to make such a request, please email contact@artaxis.org.

How we protect your data
All of the pages, posts, and information on the Artaxis website is encrypted with Secure Socket Layers (SSL) encryption. This means that all data transmitted between our web servers and your browser is encrypted. Additionally, we have two-factor authentication in place for editors, authors, and administrators of our website.
The Artaxis website is housed at Flywheel, a web hosting company with security certifications in SOC2 (Cloud Security Alliance), EU Privacy Shield (Data Privacy Practices), and GDPR (General Data Protection Regulation). In the event that we have a data breach, all affected parties will be notified within 72 hours and appropriate measures will be put in place to remedy the situation.
